n8n、Make、Zapier 怎麼選? Real workflow automation cases for small teams
Four documented n8n, Make and Zapier customer stories, how the tools differ, common small-team workflows, the risks, and when to switch to a custom API.

Gold Rush Vinyl(Zapier):
Bordr(n8n):
Formula Bot(n8n):
IMAP(Make):德國人資與組織顧問公司

Many small teams repeat the same chores every day: copying form entries into a spreadsheet, sending confirmation emails by hand, issuing invoices one by one at month end, and turning numbers into a report for the boss. Workflow automation tools such as n8n, Make and Zapier let you connect those steps without writing a full application. The tool itself matters less than three questions: which processes are worth automating, who maintains them, and what happens when something breaks. This article looks at a few publicly documented cases, then compares the three tools, common workflows, the risks, and when to move to a custom API integration.
Cases: how small teams use them
The cases below are customer stories published on each vendor's own website. They are not Rejoicing Fountain clients; details are summarised from the references at the end. Because they are vendor-published, the figures are self-reported by the vendor and customer. Read them as examples of what is possible, not as results you should expect.
Gold Rush Vinyl (Zapier): record pressing
According to Zapier's customer story, this vinyl pressing plant with 1 to 50 employees used to run customer service and sales almost entirely by hand. The founder started with something small, automatically saving PDFs from Gmail to Google Drive, and gradually moved each step into Zapier. Seven Zaps using filters, delays and email parsing now cover most customer service and sales work. The story says she built 76 Zaps in total, handling more than 18,000 tasks a year and freeing over 2,000 hours for herself and her staff, time she used to increase production and launch a new business line pressing 24k gold vinyl.
Bordr (n8n): helping people relocate to Portugal
According to n8n's case study, Bordr is run by two founders and helps foreigners obtain a Portuguese tax number. Its order process spans Paperform forms, Stripe payments, an Airtable base and Postmark email. The founders compared Zapier and n8n; they saw Zapier as better suited to simple one- or two-step tasks, and chose the more flexible n8n for their more complex workflows. n8n adds orders to Airtable, sends transactional emails, creates tasks for their partner law firm, generates power-of-attorney PDFs and finally sends customers their tax documents. The case gives no productivity figures, but it is a textbook example of the "form, payment, database, notification" flow behind many small online services.
Formula Bot (n8n): a solo-founder data tool
According to n8n's case study, Formula Bot has one full-time founder supported by two developers. About 60% of its workflows run in n8n: a central orchestration agent receives user requests and routes them to workflows that connect to different data sources, with roughly 90% of each workflow templated. The study says building a new data connector went from about a week to roughly a day and a half, saving 20 to 30 hours a month on backend and integration work. It is a more technical use, showing that n8n can serve as part of a product's backend.
IMAP (Make): an HR and organisational consultancy
According to Make's 2021 case study, this Düsseldorf consultancy with more than 50 employees used Make to sync orders, projects and staff data from its work management app into Airtable and Google Sheets, then into a data visualisation tool that shows key metrics on the intranet home page. The study reports a 17% efficiency gain across the organisation and up to 75% less time spent preparing quotes. Automation is not just about notifications; it can also mean pulling scattered data into one dashboard.
How the three tools compare
All three let you connect hundreds or thousands of cloud services visually. They differ mainly in hosting, billing and flexibility. This is a general comparison; features and plans change, so check the official pages.
- Zapier: the quickest to learn, with the widest catalogue of apps, good for teams that want to avoid technical detail. Per its pricing page (checked October 2026), usage is billed in "tasks", roughly one per successfully completed action step (triggers and failed actions are not counted), and there is a free plan.
- Make: a clear visual canvas with more flexible branching, loops and data transformation. Per its pricing page (checked October 2026), usage is billed in "credits", with most actions costing one, and there is a free plan.
- n8n: available as an official cloud service or self-hosted on your own server. Per its documentation, a self-hosted instance without a licence key runs as the Community edition; the cloud plans are billed by "workflow executions", where one run counts once however many steps it has. A good fit for complex flows, teams comfortable with a little code, or data that should stay in your own environment.
We don't list prices here because all three vendors have changed their plans and units more than once. Estimate how many runs you need per month and how many steps each has, then use each vendor's current pricing page. Remember that self-hosting n8n saves a subscription but makes servers, backups, updates and security your job, and that is a cost too.
Five common small-team workflows
- Form intake: a website or Google Form submission goes into your CRM or a spreadsheet, the right colleague is notified by email or LINE, and the customer gets a confirmation.
- Invoices and payments: a successful payment triggers an e-invoice, a receipt email and a row in the bookkeeping sheet.
- Order sync: new orders from your online store flow into shipping or inventory, and status changes notify the customer.
- Report digests: revenue, enquiries and ad results are compiled daily or weekly and sent as a summary to an inbox or group chat.
- AI classification and summaries: an AI step sorts incoming emails into quotes, complaints or after-sales, or summarises them for a colleague, while the final decision stays with a person.
To send notifications to LINE you would usually use the Messaging API of a LINE Official Account. Push messages have quotas and fees, so check LINE's current plans.
Risks to think through first
- Credentials: workflows store logins and API keys for many services. Connect them with company accounts rather than personal ones, grant only what is needed, and rotate them when someone leaves.
- Error handling: external services go down or change, and a flow can fail silently. Set up failure alerts, and give important flows retries and a manual fallback.
- Ownership: every workflow needs a named owner and a short description, or nobody will know what it does once its builder moves on.
- Personal data: customer names, phone numbers and emails pass through third-party platforms, sometimes stored overseas. Under Taiwan's Personal Data Protection Act, explain why you collect data, send only the fields you need, and review each platform's data processing terms; consider self-hosting for sensitive data.
Where to start
The cases share a pattern: teams that did well started with one small, frequent step, such as saving an attachment or writing a single record, and extended from there once it ran smoothly. For your first workflow, look for something that happens many times a week, follows clear rules with little judgement, and does little harm if it fails. Watch it for a week or two before expanding.
When to move to a custom API integration
Automation tools are a great starting point, but consider custom development when:
- monthly volume makes the subscription clearly more expensive than maintaining a small service of your own;
- the logic has grown so complex that nobody can read the canvas, and changing one node breaks another;
- you need real-time responses, heavy data processing, or a connection the tool does not support, such as your own database or a niche POS;
- the data should not pass through a third party, or customers and partners require stricter security and audit trails.
It doesn't have to be either-or. A common approach is to build the core flow as reliable code and keep notifications and reports in an automation tool where they are quick to change.
FAQ
Can we use these tools without an engineer?
Yes, for simple flows: Zapier and Make are designed for non-technical users. Once flows multiply or involve payments or personal data, have someone technical review permissions and error handling.
Is self-hosting n8n always cheaper?
Not necessarily. You save the subscription but take on servers, backups, updates and monitoring. If nobody on the team can own that, the official cloud or another tool may cost less overall.
Can we expect the results in these case studies?
We would not. The figures are published by vendors and their customers, and every company's processes, size and starting point differ. A more reliable approach is to record how long the manual work takes today and compare after you automate.
Wrapping up
The value of workflow automation is not how powerful the tool is, but handing repetitive, error-prone steps to a system so your team can spend its time on judgement and conversations.
