How much does a website cost? 7 factors that shape the quote

Why do website quotes vary so much? Seven factors that shape the cost, and how to write a brief that gets you accurate, comparable quotes.

"How much does a website cost?" is the question we hear most. The honest answer is that any number given before we understand your needs is a guess. Two projects both called a "company website" can be a five-page brochure or a system with memberships, bookings and an admin panel, and the work involved can differ several times over. This article skips the prices and instead walks through the seven factors that shape a quote, plus how to prepare a brief so the quotes you receive are accurate and easy to compare.

Factor 1: Page count and content structure

Page count is the obvious factor, but what really drives the effort is how many distinct layouts you need. Ten service pages that share one template can be simpler than five pages that each look different. Content that keeps growing, such as news, a portfolio or a product catalogue, usually needs editable lists and detail pages, so categories, filters and sorting should be planned up front.

Factor 2: Custom design or a template

A ready-made template is quick and affordable, a good fit when budget is tight and you want to launch soon. The trade-off is that the site may look like many others and fine-tuning is often limited. A custom design starts from your brand, audience and content, and plans layout, colour and interaction separately for phones and desktops. Neither is always better; it depends on how much of your brand the site has to carry.

Factor 3: Features

Features are where quotes differ the most. Common ones include:

  • A content management system (CMS): update text, images and articles yourself, without calling a developer.
  • Memberships: sign-up, login, profiles and permissions, which bring data protection and account security with them.
  • Online bookings or forms: time slots, notification emails and calendar sync.
  • Multiple languages: not only translation, but URL structure, a language switch and SEO for each language.

Split the list into "must have at launch" and "can come later". A focused first version is usually faster and cheaper.

Factor 4: How ready your content is

Many projects slip not because the code is late, but because copy, photos and translations are. If your text and quality photos are ready, development runs smoothly. If you need help writing copy, organising material, arranging a photo shoot or translating, those are separate work items that show up in the quote and the schedule. Taking stock of what you already have is the simplest way to keep costs down.

Factor 5: Integrations

A website rarely stands alone. Payments, shipping, e-invoices, a CRM, Google Workspace, a LINE Official Account or an existing ERP each need their API understood, errors handled and everything tested. How hard an integration is depends on whether the other system has good documentation and a test environment; older systems without an API need a feasibility check first. Factor 6: SEO, speed and accessibility

Basic SEO (titles, descriptions, clean URLs, a sitemap, structured data) belongs on every site. Planning content around specific keywords, adding a blog, or meeting strict loading-speed targets takes more planning and testing. Accessibility, such as keyboard navigation, colour contrast and image alt text, matters more every year, and it costs far less when it is designed in from the start.

Factor 7: Maintenance and hosting after launch

Launch is not the finish line. Hosting and domain fees, SSL certificates, system and library updates, backups, security monitoring and small changes are ongoing work. When you ask for a quote, check whether hosting is included, how long bug fixes are free after launch, and whether later maintenance is billed per request or monthly. Only then can you see the real total cost.

How to prepare a brief

A clear brief puts every vendor's quote on the same footing, which makes comparing them fair. Include:

  • Goals: what should the site achieve? More enquiries, more trust in your brand, online bookings?
  • Audience: who will visit, and what are they looking for?
  • Reference sites: two or three sites you like, and whether it is the design, structure or features you like.
  • Feature list: split into "must have" and "later".
  • Timeline: any fixed launch date, such as an event or product release.
  • Budget range: a rough range lets vendors suggest the best approach within it.
  • Decision maker: who approves designs and signs off, so late disagreements don't cause rounds of rework.

How to read a quote

Is it itemised?

A good quote lists design, front end, back end, integrations, testing and launch separately, so you can see what each cost covers and adjust scope to fit your budget.

What is included, and what is not

Check whether copywriting, photos, hosting, the domain, third-party service fees and maintenance are included. Anything left out can become an extra cost later.

How are change requests handled?

Changing requirements mid-project is normal. What matters is agreeing on the process in advance: how changes are raised, how extra time and cost are estimated, and how many revision rounds are included.

There is no standard price for a website, but the factors behind the price can be worked out in advance. Get clear on goals, features and content and you will receive a more accurate quote, without discovering halfway through that the budget falls short.
